 Fixed Assets
FRS can provide a stand alone database for our Inventory Control operation. Beginning
in late summer, the Property Control Office will begin to track centrally, the campus
inventory records using FRS instead of the current SCAN system. A small group of
departmental inventory coordinators will begin a pilot test of the system in early fall.
It is anticipated that the full campus will be trained and connected between January and
March 2000. Starting on July 1, 2000, Fixed Assets will be fully integrated with
Purchasing, Accounts Payable and Financial Accounting. This will result in an electronic
entry into Fixed Assets at the time a capital or sensitive item is purchased, paid for and
received.
Budget
The FRS Budget module will provide on-line budgeting capability for all departments.
The Office of Budget and Fiscal Analysis will manage and provide access to the campus in
order to prepare the FY 2001 Working Budget in April and May 2000.
Purchasing
The FRS system provides Procurement and Supply with the ability to conduct more
activity on-line. System Users will have look-up capability to track the status of their
requisitions and their Purchase Orders.
Accounts
Payable
FRS is a fully integrated software application. This will enable the Accounts Payable
Office to enter a vendor invoice. The system will then automatically match the purchase order
and receiving report to create a voucher. This process will finally put an end to the
current paper chase in AP.
Financial
Accounting
The changes related to FRS should be minimal. FRS uses the same account and sub-code
structure as FAS. There will be new account numbers for State accounts. However, there
will be few changes in the Sponsored Accounts. The organizational codes will be redefined
(Division, School, Department codes) and the structure will be consistent in PHR and other
administrative processes. The current reporting tool, FAS WEB, will be recreated in FRS
WEB. In addition, other electronic tools, particularly electronic forms will further
enhance our current administrative environment.
